Booking Terms and Conditions

GENERAL
You and the hotel may agree on the terms of your stay. Unless a specific agreement has been reached, the rules outlined in this brochure apply—as well as those that are internationally accepted. Some hotels apply terms and conditions that differ from the general ones regarding arrival and departure, as well as payment and cancellation. The hotel’s own terms and conditions apply provided that you were informed of this at the time of booking. Therefore, be sure to review the information provided by the hotel. Special rules apply to conferences and other events.

BOOKING AND CONFIRMATION
A booking is binding once it has been confirmed. This can be done verbally or in writing, e.g., via email. You and the hotel have thereby entered into an agreement. However, there is some flexibility regarding cancellations—see the section “Cancellation and No-Show.” When making a reservation, you are required to provide your name, address, arrival and departure times, and payment method.

CHECK-IN AND CHECK-OUT
Your hotel room will be available no later than 3:00 PM on the day of arrival. On the day of departure, you must vacate the room by 12:00 PM. NOTE: Some hotels have different check-in and check-out times. In such cases, these times apply provided that you were informed of them at the time of booking.

LATE ARRIVAL
The room is reserved for arrival by 11:00 PM at the latest. If you expect to arrive later, you must notify the hotel in advance to avoid the risk of the room being rented to another guest.

CANCELLATION AND NO-SHOW
It is standard practice in the industry for hotels to accept cancellations of hotel rooms. The following rules apply: Cancellations must be made no later than 12:00 p.m. on the day of arrival. If you do not arrive without canceling or cancel after 12:00 PM, you must pay for one night. If the hotel has incurred special costs due to your reservation, you will be liable for these costs. NOTE! Some hotels have stricter cancellation policies. In such cases, these policies apply provided they were communicated at the time of booking.

DEPARTURE BEFORE THE END OF THE AGREED PERIOD
If you have booked for a specific period but depart before the end of that period, you will be charged the same fee as for a late cancellation. In addition to the cost of the time you have stayed at the hotel, you will therefore be charged for an additional day.

INDEFINITE STAY
If you are staying at the hotel for an indefinite period and extend your stay one day at a time, you must notify the hotel of your departure by 6:00 p.m. at the latest on the day before your departure. Otherwise, you will be charged for an extra day. If the hotel can no longer accommodate you in the room, you have the right to be notified of this by 6:00 p.m. on the day before your departure.

HOTEL OBLIGATIONS
If the hotel is unable to provide you with the room as agreed, you are entitled to an equivalent or better room within the hotel or at a hotel of equivalent standard at no additional cost.

YOUR SPECIFIC REQUESTS
Many hotels today have adapted parts of their facilities for guests with disabilities. Be sure to specify your requests when you book, so you can be certain that the hotel is properly equipped and can best prepare for your arrival.

Smoking in the room
We are a smoke-free hotel. There is a designated outdoor smoking area. In the event of a violation of the smoking ban, the hotel reserves the right to charge the guest for the cost of cleaning linens, etc.

Pets
If you wish to bring a pet, please let us know when you book your room.

Technical Equipment
If you require any specific technical equipment, please let us know well in advance of your arrival. This is to ensure that your requests can be accommodated as much as possible.

Food
If you have any special dietary requests (vegetarian, gluten-free, etc.), please let us know when you make your reservation

RESERVATION FEE AND ADVANCE PAYMENT
The hotel reserves the right to require a reservation fee or other advance payment to make your reservation binding. This amount will be deducted from the final bill. If you cancel your reservation without observing the cancellation deadline, the hotel reserves the right to retain the booking fee/advance payment.

PAYMENT
The general rule is that the hotel bill should be paid when you receive it, which is usually upon arrival at the hotel. Regarding credit cards, checks, and vouchers, we accept the most common credit cards. However, the hotel is not obligated to accept credit cards, checks, vouchers, or foreign currency unless the hotel has offered to do so. It is therefore wise to find out in advance what the policy is. If you delay payment, the hotel is entitled to charge late payment interest.

REGISTRATION OF FOREIGN HOTEL GUESTS
Under the Aliens Act, hotel operators must ensure that foreign hotel guests provide certain information, as prescribed by the National Police Board, on a registration card signed by the guest. The foreign hotel guest must verify their identity with a valid identification document. These rules are based on the Schengen Agreement within the EU.

STORAGE OF VALUABLES AND LUGGAGE
Your valuables can usually be stored in a safe in your hotel room. Please speak with the front desk—for safety’s sake. Upon arrival and departure, do not leave your luggage unattended in the lobby. The hotel can usually store your luggage in a locked luggage room. The hotel is only responsible for your property if it is stored in a locked area provided by the hotel, such as a luggage room. If your property is of unusually high value, you are required to inform the hotel of this when you hand over your luggage or other property to the hotel for storage. The hotel has no obligation to store high-value property and is liable for the full value of the property only if the hotel has undertaken to be responsible for it. By law, the hotel has the right to retain luggage as security for a claim against a guest and, in certain cases, in accordance with established rules, to sell the property.

LIABILITY FOR LOST OR STOLEN PROPERTY IN HOTEL ROOMS
The hotel bears no strict liability for property you keep in your hotel room or in the in-room safe. However, should it be determined that the hotel or its staff acted carelessly or negligently, or are otherwise at fault for the loss of property, the hotel is liable for the lost or stolen property.

YOUR OWN SAFETY
You should always find out where the emergency exits, alarm buttons, and fire extinguishers are located. This information is generally found on the inside of your hotel room door, in a special information folder in the room, or at the front desk. Visita, in collaboration with the Fire Protection Association, has produced the information brochure “Hotel Safety.” Read it—for your own safety. If you notice any safety deficiencies, please report them immediately to the front desk.
